The organisation had a large potential volunteer base but lacked an efficient communication system
The organisation had access to a large and highly motivated volunteer base but lacked an efficient communication system to manage engagement at scale. They were unable to segment audiences by sign-up type, track volunteer training completion, or prioritise outreach in geographic areas experiencing volunteer shortages. As a result, email communications were largely manual, inefficient, and not tailored to an individual’s status or level of need, limiting both engagement and operational visibility.

What we did
Scalable Email Automation and Segmentation
We designed and implemented a custom email automation and segmentation system capable of managing communications with more than 60,000 potential volunteers at scale. The solution used automated email flows tailored by volunteer type and training status, supported by intelligent segmentation and trigger rules to ensure the right message was delivered at the right stage of the journey. Advanced analytics and reporting provided clear visibility into training completion rates and highlighted priority geographic areas requiring additional volunteer support. The project included strategic planning, fully automated email sequences, custom-designed templates, analytics dashboards, and ongoing optimisation, all built using email marketing platforms with robust automation and reporting capabilities.
